1. Who is responsible

LinkBrAInly, Delhi, India, operating LinkBrainly AI (linkbrainly.com), is the data fiduciary for the personal data described here, under India's Digital Personal Data Protection Act, 2023 and other applicable laws.

2. What we collect

• Details you give us: email address, and optionally name and phone/WhatsApp number, when you view a report, sign in, request a quote or contact us.
• Websites you submit and the reports we generate for them. We crawl public pages only; we don't try to collect personal data from those pages.
• Payment records: plan, amount, date and the Razorpay order and payment IDs. Card, UPI and bank details are handled by Razorpay and never reach us.
• Technical data: IP address (used for rate limits and abuse prevention), browser type, pages visited and referring site. We count daily visitors with a one-way hash and don't keep raw IP addresses in our analytics.
• Cookies: a sign-in cookie when you log in, and Google Analytics cookies to measure how the site is used. Your browser also stores your report form details so you don't have to type them again.

LinkBrainly for Shopify

If you install our Shopify app, Shopify gives us access, with the permissions you approve, to your store's products, collections, pages, blog posts, navigation menus, URL redirects and files. We use it only to audit your store and to make the changes you choose (SEO titles and descriptions, URLs with redirects, links, alt text, image compression and file names).

• What we store: your store's domain, name and contact email, your plan, the access token Shopify issues, audit reports and a log of every change the app made (so you can undo it).
• Images: images you choose to optimise are downloaded, compressed on our servers and uploaded back to Shopify. The original is kept for 30 days so you can undo, then deleted.
• We don't access your customers, orders or payment details. Billing for the app is handled by Shopify.
• Deletion: uninstalling stops all access immediately. When Shopify sends the shop-deletion request (48 hours after uninstall), we delete your store's data, reports and change history.

LinkBrainly for Webflow

If you connect Webflow, Webflow gives us access, with the permissions you approve, to your sites, pages and CMS collections and items, plus your Webflow account email. We use it only to audit your site and to add the internal links you approve.

• What we store: your site names and addresses, the access token Webflow issues (encrypted with AES-256), audit reports and a log of every link the app added, with the text before and after, so you can undo it.
• Changes: the app edits only CMS rich text fields, and only when you click Apply. It has no access to your design, custom code, forms, ecommerce, users or billing.
• Deletion: Disconnect in LinkBrainly deletes the token and your Webflow audit data. Also remove LinkBrainly in Webflow under Workspace settings → Apps & Integrations to revoke access there.

LinkBrainly for WordPress

The WordPress plugin runs audits, fixes, link suggestions and undo on your own server; none of that reaches us. Only after you click Connect in the plugin, and only for the features you use, we receive:

• Connect: your site address and name, the email you enter, WordPress and plugin version, which SEO plugin is active and whether WooCommerce is installed. We store these with your plan and monthly usage.
• AI titles and descriptions: the title, current SEO title and description, focus keyword, URL and the first 1,500 characters of text of the items you select. Processed to return suggestions, not stored.
• AI alt text: a medium-size copy of the images you select, their file names and page titles. Processed to return suggestions, not stored.
• Image compression: the image file you choose. It is compressed and sent back to your site, not stored. Your site keeps the original for undo.
• Licences: paid plans are sold through Freemius, which tells us your licence status and plan. Card details are handled by Freemius and its payment providers and never reach us.
• Deletion: Disconnect in the plugin stops all access. Email us to delete your site's record.

AI visibility audit

When you run the AI visibility audit we store the website address, the optional brand details you type, your email (and name and phone if given) and the report. The report contains public information only: what we read on the website, and the answers AI assistants gave to the buyer questions we asked them. Your email and phone are never sent to an AI provider.

SEO dashboard and Google user data

If you connect Google to the LinkBrainly SEO dashboard, you choose which Google account to connect and approve read-only access on Google's own screen. We ask only for these permissions:

• Google Search Console, read-only (webmasters.readonly): the list of your Search Console properties and search performance (clicks, impressions, CTR, position, queries, pages and devices) for the one site you pick.
• Google Analytics, read-only (analytics.readonly): the list of your GA4 properties and aggregated reports (sessions, users, channels, traffic sources, landing pages, key events and revenue) for the one property you pick.

How we use it. Only to show your own dashboard to you and to calculate the tips shown in it (for example, combining Search Console impressions with the orphan pages found by our crawl). We cannot change anything in your Google accounts.

How we store it. We store the Google refresh token encrypted (AES-256-GCM), the site and property you chose, and your business type. Report numbers from Google are held in server memory for at most 24 hours so the dashboard loads quickly, and are not written to our database. A backlinks CSV you upload is stored until you remove it or disconnect.

Sharing. We do not sell Google user data, share it with third parties, use it for advertising, or use it to train or improve AI or machine-learning models. Google user data is not sent to any AI provider. Our staff do not read it, except with your permission for support, for security reasons, or where the law requires.

Limited Use. LinkBrainly AI's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Disconnect and delete. Click Disconnect in the dashboard at any time. We revoke the token at Google and delete your dashboard record and cached data at once. You can also remove access from your Google Account permissions page. If you don't open the dashboard for 18 months, we delete the connection automatically.

3. Why we use it

• To run audits, show and email your reports, and manage your plan and payments.
• To send sign-in codes, receipts, renewal reminders and service messages.
• To contact you about your report and, if you ticked the box, send occasional SEO tips (you can opt out any time).
• To prevent abuse, keep the Service secure, and improve it.
• To meet legal, tax and accounting obligations.

We process your data based on your consent, which you can withdraw at any time, and for legitimate uses permitted by law, such as completing a service you asked for.

4. Who we share it with

We use trusted service providers who process data on our behalf: Hostinger (hosting, database and email), Razorpay (payments), Shopify (app installation and billing for Shopify merchants), Freemius (checkout and licences for the WordPress plugin), Google Analytics (site analytics), Google APIs (only to read your own Search Console and Analytics data when you connect the SEO dashboard), Open PageRank (receives only the domain name, to look up an authority score) and Google Gemini or a similar AI provider (to analyse the public page text of the site being audited, and the text or images you send from the WordPress plugin; we don't send your email or phone to the AI). We may disclose data if required by law. We never sell your personal data.

5. How long we keep it

Reports are kept for about one year. Google data in the SEO dashboard is kept as described in the Google user data section above (at most 24 hours for report numbers). Lead and account details are kept while you use the Service and for up to 3 years after, unless you ask us to delete them sooner. Payment records are kept for as long as tax law requires (usually 8 years).

6. Your rights

You can ask to access, correct or erase your personal data, withdraw consent, or nominate someone to exercise your rights. Email hello@linkbrainly.com from the address you used with us. We'll respond within 30 days. If you're not satisfied, you can complain to the Data Protection Board of India.

7. Security

We use HTTPS, restrict access to our systems, store sign-in sessions as hashed tokens and never store passwords. No system is perfectly secure; if a breach affects you, we'll notify you and the authorities as the law requires.

8. Children

The Service is meant for businesses and adults. We don't knowingly collect data from anyone under 18 without a guardian's consent.

9. Changes

We'll update this page when our practices change and revise the date at the top.
